RPA applications in Human Resources

RPA is a process agnostic technology, which means that it can be applied to various business processes, and that it finds applications in areas such as Finance, Logistics, Operations, etc. We see one particular department where the potential for RPA is quite large: Human Resources. In this article, we list 7 uses cases for RPA in HR!

  1. Onboarding process

This is an classical use case for RPA. An RPA robot can take care of all the repetitive actions that have to happen when a new employee starts. Requesting parking cards, fuel cards and doing the administrative tasks to register company cars, applying for a badge, creating accounts on ERP, CRM and assigning the necessary rights, … By automating these steps various stakeholders from departments such as HR and IT save a lot of time. But more importantlu, the new employee feels more welcome in the new organization and experiences a smoother start.

  1. Payroll administration

The administrative workload around payroll processes is quite cumbersome for many companies. Examples are the calculation of year-end bonuses, indexing wages, creating payslips, etc. No wonder that RPA is often applied in this domain.

  1. Leave planning administration

Sometimes the employees’ leave planning is in one system and must be kept up to date manually in other applications, for example for personnel planning. An RPA robot can regularly synchronize the planning across different tools, to ensure that planning internal resources goes smoother and is performed more accurately.

  1. Changing personnel data

When employees change address, have a new bank account number or receive storage, adjustments often have to be made in various software applications. RPA can make these adjustments, saving time and preventing errors.

  1. Administration around trainings

Your employees have the opportunity to follow various training courses, but these trainings must be properly processed administratively, otherwise you risk missing subsidies. So why not leave the administrative processing to an RPA robot?

  1. Premium calculations

Did you know that the Belgian railways employ 70 full-time employees who do nothing else than calculating the dozens of premiums for their own staff? Night work, weekend work, traveling by train, following a course, … there are many reasons why premiums are paid. Automatically calculating those premiums via RPA can yield a nice efficiency gain.

  1.  Administration of personnel contracts

Creating personnel contracts is a repetitive task, in which many factors can be important, such as the position, department, type of contract, and so on. Contract changes are quite commonplace within organizations. RPA robots can save a lot of time in such processes by the automating the creation and updates of contracts based on various parameters.
